The Resource Planning module in TANSS combines deployment planning, absence management, and approval processes for vacations and absences into a central tool. Whether short-term appointment planning, long-term capacity overview, or structured approval processes – all relevant information is available in real-time and can be evaluated based on roles. This creates transparency, minimizes errors, and sustainably simplifies organizational routines.

The perfect overview for dispatchers and team leaders

The graphical timeline provides users with an instant, clear representation of all relevant information, from planned deployments and services to appointments, remote maintenance, and meetings, as well as absences like vacations or sick days. Vehicle bookings for on-site appointments are also directly visible, ensuring clarity about availabilities and resources at all times.

Thanks to the intuitive quick mode, new appointments can be created with just a few clicks, while existing entries can be flexibly adjusted via drag & drop or seamlessly assigned to other team members. This process is supported by the integrated appointment assistant, which automatically suggests suitable time slots based on duration, location, and participants.

If a user is assigned a ticket or service while absent, an automatic warning appears.

With TANSS's integrated absence management, vacations, sick days, overtime reduction, and individually defined absence types can be centrally and clearly managed. Users can submit their requests directly in the system and always keep track of remaining vacation, overtime, and approved absences. At the same time, finely tuned permissions ensure that only authorized persons can view or approve certain absences.

For even more flexibility, custom absence types with associated colors and rules can be individually defined, whether it's for home office, hotline duty, or kitchen service. If desired, sick notes can also be displayed anonymously in compliance with data protection to protect sensitive information. Additionally, the system provides up-to-date statistics at any time, offering a clear overview of application statuses, approved days, and absence frequency across the team.

Approval processes that adapt

TANSS supports multi-level approval processes for vacation and overtime requests. These can be flexibly defined per department and equipped with any number of instances, e.g., initial review by the team leader, followed by final approval by HR. Only the responsible persons receive notifications and can approve.

Substitutes can also be assigned for each approval level. If the primary approver is absent, the designated substitute automatically takes over. This ensures no application is left pending, and the entire process runs reliably and is fully documented.

With profiles, you can create customized planning and control views for different roles, teams, or areas of responsibility. Profiles store, for example, users, departments, absence types, appointment categories, or application statuses. One click is enough to switch, for example, from the weekly view of a technician team to the list of all open vacation requests.
